JH Party and Tent Rentals (“JH Party Rentals”, “we”, “us”) is a party and tent rental company based in Ajax, Ontario. This policy explains what personal information we collect through jhpartyrentals.com and when you book with us, how we use it, and the choices you have. We follow Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA).
1. Information we collect
Information you give us
- Quote requests, contact forms and the rental cart: your name, email, phone number, event date, event address, guest count, the items you’re interested in, and any notes you add.
- Bookings: billing and delivery details, your signed rental contract, and payment records for your deposit and balance.
- Newsletter: your email address, if you sign up.
- Phone, email, text and social media messages: whatever you choose to share with us.
Information collected automatically
When you visit our website, we and our service providers collect basic technical information. That includes your IP address, browser and device type, the pages you view, how you got to our site, and actions such as starting a quote request. We collect this with cookies and similar tools (see section 4).
We do not take credit card payments on our website. Payments are arranged directly with our office.
2. How we use your information
- To prepare quotes, confirm bookings, and deliver, install and pick up your rentals
- To contact you about your event, including reminders, changes and follow-ups
- To keep records of contracts, payments and taxes, as the law requires
- To send our newsletter or offers, only if you’ve signed up or agreed. You can unsubscribe anytime.
- To ask for a review after your event
- To improve our website, understand which pages are useful, and measure our advertising
- To protect our website from spam, fraud and security threats
3. Who we share it with
We do not sell your personal information. We share it only with service providers who help us run our business, and only as much as they need:
- Point of Rentals: our booking, quoting and invoicing software
- HostGator: our website host
- Mailchimp: our newsletter, if you subscribe
- Google Analytics, Microsoft Clarity and Meta (Facebook/Instagram) Pixel: website statistics and ad measurement
- Jetpack, Wordfence and Akismet: website security and spam filtering
- Our delivery crew: your event address and contact number, so they can deliver and install your rentals
Some of these providers store data outside Canada, mainly in the United States. There, it may be subject to local laws. We may also disclose information if the law requires it.
4. Cookies and tracking
Our website uses cookies to:
- Remember your rental cart
- Measure how the site is used (Google Analytics, Microsoft Clarity)
- Measure and improve our Facebook and Instagram ads (Meta Pixel)
- Show our Instagram feed and newsletter sign-up
We show a cookie notice when you first visit. You can block or delete cookies at any time in your browser settings, opt out of Google Analytics with Google’s browser add-on, and change your ad preferences in your Facebook or Instagram settings. Some features, such as the rental cart, may not work without them.
5. How long we keep it
We keep booking records, contracts and invoices for as long as Canadian tax law requires, generally at least six years. We keep quote requests that didn’t become bookings for up to two years. We keep newsletter subscriptions until you unsubscribe. After that, we securely delete or anonymize the information.
6. How we protect it
Access to customer information is limited to staff who need it. Our website uses a secure (HTTPS) connection and security monitoring. No system is perfectly secure, but we take reasonable steps to protect your information.
7. Your choices and rights
You can ask us to:
- Show you the personal information we hold about you
- Correct anything that is wrong
- Delete your information, where we don’t need to keep it for legal or contract reasons
- Stop sending you marketing emails

8. Children
Our website and services are meant for adults planning events. We do not knowingly collect information from children under 13.
9. Changes to this policy
We may update this policy from time to time. The date at the top shows when it last changed.
